Data protection 

Personal data is collected, processed and used by JUNOS exclusively in accordance with the provisions of the Austrian Data Protection Act and the General Data Protection Regulation. In addition, the Austrian Student Union provides a register of voters (name, address, academic title, email addresses, date of birth, student number) to parliamentary groups for information purposes in accordance with the provisions of the Student Union Act 2014.

The following information explains what data is collected during your visit to our websites, when you fill in forms, and when you take part in petition campaigns, events and other activities, and how this data is used. 

No automated decision-making takes place. However, measurable activities (such as actively accessed information, event attendance, donation transactions, etc.) are occasionally used as a basis for determining contact frequency and content. The measured activities do not give rise to any legal obligations, disadvantages or other adverse effects for you. 

 

Your data is your data 

All data subject rights (right of access, right to rectification, right to object, right to data portability, objection or request for erasure) may be exercised in person at our national office, by post or by email to datenschutz@junos.at. The mailbox is managed centrally, with primary responsibility lying with the main association Junge liberale NEOS – JUNOS. Please note that you must provide proof of identity when exercising your data subject rights. 

Our Data Protection Officer, Dr Karl-Arthur Arlamovsky, can be contacted at dsb@neos.eu. If you believe that your data is being processed unlawfully, you have the right to lodge a complaint with the competent supervisory authority. In Austria, this is the Data Protection Authority (dsb.gv.at). 

Should it be necessary for legal reasons to disclose your data to third parties, e.g. as part of a criminal investigation, we will inform you immediately. 

 

Legal basis and purpose limitation 

We collect data on the following grounds: 

  • If you work for us (on a voluntary or full-time basis) or become a member, we store the relevant information for the purpose of staff and membership administration. 

  • By voluntarily providing your data, you agree to the relevant declaration of consent, the purpose of which is specified in each case, for example to enable us to send you information material or invitations. 

  • To comply with legal requirements, for example when transmitting information to external auditors or the Federal Chancellery. 

  • Where there is a legitimate interest, such as verifying the integrity of candidates, providing political information as an electoral list; to prevent the misuse of our websites or the manipulation of primaries, etc. 

 

Personal data 

We store the data that you voluntarily provide to us via forms or in person. This includes name and academic title, address, date of birth, email address, telephone number, donation details, areas of interest, participation results, surveys and petitions, social media IDs, details of initial contact & applications, availability and willingness to collaborate, communication preferences, details of education and profession, and details of special qualifications and resources. 

  • For members: information on membership, contact history, and membership of party-affiliated organisations 

  • For candidates: information regarding candidacy/mandate 

  • For staff: National insurance number, bank details 

We also store data that helps us track how and when we have been in contact with you (for example, the date of the last positive contact, which forms you have submitted). When you register on the data controller’s website, the IP address assigned by the data subject’s Internet Service Provider (ISP), as well as the date and time of registration, are also stored. This data is stored on the basis that this is the only way to prevent misuse of our services, and that this data enables us to investigate any criminal offences committed where necessary. In this respect, the storage of this data is necessary to protect the data controller. This data is not disclosed to third parties as a matter of principle, unless there is a legal obligation to do so or the disclosure serves the purposes of criminal prosecution. 

We use web beacons for statistical purposes. A web beacon is a miniature graphic embedded in emails sent in HTML format to enable log file recording and analysis. This allows for a statistical evaluation of the success or failure of online marketing campaigns. Using the embedded web beacon, JUNOS can determine whether and when an email has been opened by a data subject and which links contained in the email have been accessed by the data subject. Such personal data collected via the tracking pixels contained in the newsletters is stored and analysed by the data controller in order to optimise the distribution of the newsletter and to tailor the content of future newsletters even better to the data subject’s interests. This personal data is not passed on to third parties. Data subjects are entitled at any time to withdraw the separate declaration of consent given in this regard via the double opt-in procedure. Following withdrawal, this personal data will be deleted by the data controller. 

Where personal data is used on our websites, such use is carried out exclusively in accordance with the provisions of the GDPR, in which all JUNOS staff and volunteers who handle personal data are trained and instructed. 

If you use features on our websites that require the entry of personal data, by entering your data you give us your consent to use this data electronically for the purpose for which you are entering it. 

Personal data may be collected by JUNOS if you 

  • take part in one of our campaigns, initiatives or petitions and fill in a form, 

  • use one of the engagement options on our site, such as sharing content or making a donation, 

  • send us a message via one of our contact forms, 

  • show an interest in a topic by visiting a webpage. 

 

Data security 

We do everything we can to protect your data. This includes measures to prevent manipulation, loss, destruction or access by unauthorised persons. To this end, we implement technical safeguards (such as access controls, locked storage facilities, password policies, etc.), organisational safeguards (such as training and usage policies) and legal safeguards (confidentiality agreements, data protection agreements, data processing agreements) designed to prevent such incidents. All data is stored on our servers or on the servers of our service providers, with whom data processing agreements have been concluded in accordance with Section 10 of the Data Protection Act (DSG), subject to appropriate vetting. All our systems, including authorised user groups, are recorded and described in detail in a processing register. 

 

Recipients 

To ensure modern and professional data processing in accordance with current standards, we operate our database jointly with NEOS. Your data is processed by JUNOS and NEOS (political party, NEOS Lab, NEOS clubs/factions in general representative bodies and UNOS) under a ‘joint controllership’ arrangement. NEOS (political party) bears primary responsibility in this regard. Further information can be found at neos.eu/datenschutz under “Joint Controllership”. 

We also use service providers to send you newsletters or postal mailings, for example, or to disseminate our messages on social media. To this end, we transfer the necessary data to the respective service provider, who are not considered third parties in our eyes. In accordance with the applicable legal provisions, we have taken steps to ensure that all our service providers handle the data used with due care and comply with all legal requirements. This is also contractually guaranteed to us.

 

Data used on our websites 

We store information necessary for the operation of the website in cookies. However, these do not contain personal data that could be read by third parties. By disabling cookies in your browser or deleting them regularly, you can also prevent conclusions being drawn about your behaviour. We use Google Analytics to find out which of our pages are popular and how we can make them even more interesting. Find out more in Google’s privacy policy.

We use CamBuildr for forms. This enables us to send you personalised offers to take part in petitions, initiatives and campaigns. We use CamBuildr to send you information and opportunities to get involved that are relevant to you. You can find out more in the CamBuildr privacy policy.

We use YouTube as a video platform. These videos are embedded on the site, which means that information about which videos are viewed is sent back to YouTube. If you do not want this to happen, you can block cookies and/or Flash content in your browser. Find out more in the YouTube terms of service. To enable you to ‘like’ us directly and share content, we offer features in numerous places that are provided directly by Instagram, TikTok, X or similar services. If you are logged in to your social media account and click ‘Like’ or ‘Share’, the content will be published directly. We also use tracking pixels on some of our pages to help us better reach people who are interested in our topics. Retention period and deletion policy 

The data controllers record, for personal data processed there, the type of data, whether it constitutes special categories of personal data, the retention obligation, and the storage method/location. The data is grouped accordingly; separate groups are formed for commissioned data processing.  

Personal data relating to contacts is deleted no later than 3 years after the last interaction; member data is deleted no later than 3 years after the end of membership. Requests for deletion are complied with immediately, but at the latest within the specified timeframe. The deletion process is confirmed in writing and filed. 

For agents, officers and employees, the retention period is determined by the relevant guidelines and legal requirements, such as retention periods or documentation purposes. 

We carry out regularly scheduled, duly logged and documented deletion runs at least once a year as at 31 March to remove outdated contacts. 

A separate contingency plan is in place for data protection breaches, of which all responsible parties are aware. 

Prior to any commissioned data processing, the relevant contracts are reviewed to ensure they contain adequate clauses regarding deletion. Where necessary, the contracts are amended before data is transferred. A deletion log is requested where required. 

 

Data security measures 

Your data security is our top priority. Our stated aim is to take all necessary technical and organisational measures to ensure the security of data processing and to process your personal data in such a way that it is protected against access by unauthorised third parties. Through the use of state-of-the-art security software, coding and encryption methods, our IT infrastructure meets the highest international security standards. When transferring and storing personal data, encryption methods and access control systems that meet current standards are used to provide the best possible protection against unauthorised access.
